At many education agencies, a certification review triggers two weeks of reconstruction: searching inboxes for signed agreements, asking around about who verified which document, trying to recall how last year's complaint was resolved.

First, a plain statement

Software does not make an agency compliant. Compliance is the agency's responsibility. What software does is keep the record, with dates and names, so the agency can show what it did.
That is the right boundary, and worth stating up front.
Where the evidence comes from
Document provenance. Every file records where it came from at upload, with a checksum: the student, a guardian, direct from the school, or a sub-agent.
Verification is its own action. Marking a document verified is done by a named person who must state how they checked it. Flagging a document never deletes data — the doubt is recorded rather than the evidence disappearing.
Versioned contracts. Student, school and sub-agent agreements store the signed copy against the exact template version the signer read. Fee schedules work the same way: each disclosure points to the version that student actually saw.
Complaints and remedies. A complaint cannot be closed without recording what changed as a result. Reviewers don't read the complaint count — they read this part.
Consent and disclosure logs. One record of what the student permitted, and a separate record of what was actually sent, to whom, and when. For agencies that must demonstrate how personal data is handled, keeping those two apart is the difference between claiming and proving.
Retrieval is one action
Pick a date range and export student records, contracts, fee disclosures, complaints, surveys and training as a single pack with a manifest.
Worth noting: the pack still exports after the subscription lapses, and on the final day of the trial. An agency's compliance record isn't held hostage to renewal.
The activity log — who changed what, when — is retained longer than the lifetime of the record it describes.
